Boston University Enables Electronic Faxing Out of SAP® Using Esker Cloud Fax Services

Esker, a worldwide leader in document process automation solutions and SAP® software solution and technology partner, today announced that Boston University, a leading private research institution, is leveraging Esker Cloud Fax Services to electronically fax purchase orders to its vendors directly from Boston University Sourcing & Procurement’s SAP application.

Prior to implementing Esker, Boston University (BU) Sourcing & Procurement had been sending out purchase orders (POs) via a process that required large amounts of time and labor. BU Buyers had to physically print out each PO and run back and forth to the fax machine in order to manually fax them. Now, using Esker Cloud Fax Services, POs are instantly and electronically faxed out of SAP as soon as they’re ready to send. Instead of multiple manual steps, only a few users are needed to ensure the documents go through.

Why Esker?

After seeing Esker listed as a partner on SAP’s website, BU put in a request for proposal (RFP) shortly thereafter, and Esker was successfully selected. “We knew we wanted a cloud solution, and it had to work well with our SAP system,” said Walter Duffy, Associate Director, IT Sourcing Manager at Boston University. “RFP processes aren’t always the smoothest experiences, but Esker was incredibly straightforward with us and their solution stood out among the other vendors. In the end, we got exactly what we wanted and were up and running quickly.”

Choosing Esker ultimately came down to BU’s comfort level with the solution as well as the support staff. “Being able to actually speak to a human throughout the process was refreshing,” said Duffy. “Our rep was incredibly helpful and tech support was always available — I wish all of my engagements with vendors were this easy.”

Seeing a Positive Impact

Esker Cloud Fax Services has proved to be a significant time saver for BU Buyers and a boost to overall productivity by eliminating the non-value, manual tasks of the previous faxing process. “We joke that our staff is no longer wearing a path on the carpet to the fax machine,” said Duffy. “The solution is so seamless; we take it for granted that POs will just go out automatically from SAP.” BU has also seen a significant amount of cost savings thanks to using less paper and electricity from running fax machines on a daily basis.

Beyond its initial implementation of Esker, and in conjunction with its goal to achieve cost savings, BU is looking at migrating their existing fax devices to electronic fax solutions through the Esker solution.
